Overview

Penguin Solutions is seeking an Executive Assistant (EA) to serve as a strategic partner and trusted aide to the President of Advanced Computing at Penguin Solutions. This role requires a proactive, detail-oriented, and highly professional individual capable of managing a dynamic schedule, facilitating effective communication, and ensuring smooth day-to-day operations within a fast-paced, high-tech environment.

 

Responsibilities

  • Manage and optimize the President’s calendar, including scheduling meetings, appointments, travel, and events.
  • Coordinate complex domestic and international travel arrangements, ensuring seamless logistics and itinerary planning.
  • Prepare agendas, briefings, presentations, and reports for executive meetings and public engagements.
  • Organize leadership off-sites, board meetings, and special projects as assigned.
  • Coordinate and track action items, ensuring timely follow-up and completion.
  • Support strategic initiatives by organizing internal reviews, maintaining project timelines, and monitoring progress.
  • Reconcile expense reports, manage executive budget items, and ensure compliance with internal policies.
  • Handle sensitive or confidential information with discretion.
  • Other projects/duties as assigned.

 

Qualifications

  • Bachelor's degree preferred; or equivalent education and work experience.
  • 5+ years of experience supporting C-level executives, preferably in a technology or high-growth organization, in addition to other experience supporting leaders at other levels
  • Exceptional organizational, time management, and multitasking skills.
  • Experience with extensive calendar management
  • Solid experience coordinating executive travel, both domestic and international
  • Strong written and verbal communication abilities.
  • High level of discretion, integrity, and professionalism.
  • Proficiency in Microsoft Office Suite
  • Experience with project management tools and Concur is a plus.

 

Location

This is a hybrid role in Maynard, MA with on-site responsibilities up to 3 days per week.

Compensation & Benefits

The base pay range that the Company reasonably expects to pay for this position in Massachusetts is $90,000 - $103,000; the pay ultimately offered may vary based on business considerations, including job-related knowledge, skills, experience, and education. The position is bonus-eligible, and there are medical, dental, and vision benefits available. There is a 401k saving plan and other benefits, such as Paid Time Off, Life Insurance, and an Employee Assistance Plan.
